General terms and conditions for  International Language Centers

 

I. GENERAL

1. Hereafter, any use of the words "school", "center", "us", "our", or “ILC” refers to International Language Centers, and any use of the words "client" or "student" refers to the contracting party.

 

2. Validity
The general terms and conditions are valid for all business transactions with our clients.  The client accepts the general terms and conditions by using our services, and these terms and conditions are valid for the whole period of the business relation.  They are also valid for future business transactions or relations.  The initial or later occurring invalidity of one or more provisions of the General Terms and Conditions does not affect the validity of the other provisions.  In that case, a valid provision shall be deemed agreed that is closest to the legal and economic purpose.  The English version of our web site, brochure, or another printed material takes precedence over such material in any other language.  We reserve the right to change program descriptions, prices, or other matters relating to the school or its programs without notice.

 

3. Applicable law and jurisdiction
The contractual relation and other business relations between the client and us are exclusively subject to Hungarian laws excluding international sales law. Subject to admissibility, the exclusive jurisdiction for all disputes for both parties will be Budapest, Hungary.

 

II. LANGUAGE TEACHING

1. Private courses
Individual courses can be arranged from Monday to Friday between 9:00 a.m. to 8:00 p.m. and on Saturdays from 9:00 a.m. - 1:00 p.m. Postponements have to be announced in the school office a minimum of four hours before the scheduled start of the lesson, otherwise the lesson will be charged. For cancelled lesson beyond 15% or more of the total enrolled hours, the required notice is increased to 5 days.  Lack of notice or missed or cancelled lessons in excess of 15% of the total will result in said lesson(s) being charged.  In case of a delay of 30 minutes or more without previous consultation with the school during our office hours, the lessons cannot be guaranteed. A minimum booking of 2 hours weekly is required. There is no maximum.

 

2. Group classes
The maximum number of participants in group classes is limited to 5 students. On average there are 3-4 people per group. We reserve the right to change the course program and/or reduce the number of hours if there are or fewer participants within one group.  There are no refunds for missed classes.

 

3. Special Programs
Special programs are arranged as individual courses. Descriptions of special programs can be found in our brochure and on our web page.

 

4. Teachers
Teachers are assigned to each client by the school. Teachers may be changed as often as liked upon request, and the wishes of the student for a particular teacher are taken into consideration. There is no general entitlement to be taught by the desired person, however, and requests for change must be made at least one week in advance.

 

5. Length of lessons
The length of each lesson, or class hour, is 45 minutes. For studies of four hours per day or more, there is generally one 30 or 60 minute break at the halfway point.

 

6. Holidays and cancelled lessons
All private lessons cancelled because of school closures due to holidays will always be made up at no additional cost to the student.  No lessons are to be held on the following holidays:

  • 6-9th April Friday, Monday – Easter holiday
  • 21st April, Saturday – workday
  • 30th April, Monday – holiday
  • 1st May, Tuesday- national holiday

  • 20th August, Monday- national holiday
  • 22nd October, Monday - holiday
  • 23rd October, Tuesday – national holiday
  • 27th October, Saturday – workday
  • 1st November, Thursday – national holiday
  • 2nd November, Friday – holiday
  • 10th November, Saturday – workday
  • 15th December, Saturday – workday
  • 24-25-26th December, Monday-Wednesday, Christmas

 

7. Enrollment
Enrollment is effected by submissions of a completed registration form, or through electronic mail (e-mail) communiqué. For minors, the signature of their parents or guardian is compulsory.

 

III. PAYMENT FOR SERVICES

1. Registration fee
For all reservations there is a 100 Euro deposit, which is applied to tuition fees.  Upon making full payment, the registration fee is subtracted from the balance owed.

 

2. Method of payment
The teaching fees are payable upon arrival at the school or in advance by wire transfer. The invoice total has to be paid at the latest by the beginning of the course.

 

3. Rescission/refunds
Visa students: in the event of visa refusal, their payment will be reinbursed minus 100 Euro administration fee.
Private students: will be refunded the full amount of the payment if the cancellation occurs 2 weeks before the starting date minus 100 Euros administration fee. If the cancellation occurs within 2 weeks of the starting date then only 50% of the tuition fee will be refunded.
Group courses: we will refund the full payment if the cancellation occurs 4 weeks before the starting date minus 100 Euros administration fee. If the cancellation occurs within 4 weeks of the starting date then only 50% of the tuition fee will be refunded.

 

4. Transportation
If there is a change in status in airport pickup, in that it is no longer required, we must be notified at least three days prior to scheduled arrival as indicated on the student’s submitted reservation form, otherwise the fee cannot be deducted from the student’s total costs.  If airport transportation was included for free, in such case the normal fee will be added to the invoice total.  In case of delayed or cancelled flights we may, at our discretion, waive this fee provided the school is notified via telephone before the driver has departed to the airport.

 

5. Discounts
All participants who stay with the school for longer than 4 weeks (minimum 20 lessons) will receive a discount of 10% on any course fee (Semester and Summer Group programs excluded). All former students receive a 10% tuition fee discount. With multiple bookings we offer a discount. We also offer corporate rates for companies that would like to train several employees at the same time or within one calendar year.

 

6. Deposit
Except for the registration deposit fee, there is no further deposit required unless an apartment is booked. In this case 50% of the apartment total is required within 1 week of registration. For group lessons, 50% of the course fee is due 2 weeks prior to course start date.

 

7. Forms of payment
Payment for all fees may be made in the following ways:
- Cash (Hungarian forints, USD, EURO)
- Bank transfer (two weeks before arrival, and one week before extension)

 

8. Validity of prices
The prices given in the brochure and web page are valid until 05/2012.

 

9. VAT and taxes
The school's course programs are free of VAT and tax.

11. Visa application
Students who need a visa for traveling to Hungary and require a letter of enrollment will have to pay tuition in full in addition to any other monies, such as for lodging, before the school sends them the letter of enrollment and lodging verification.

 

IV. LIABILITY

1. Liability
The student accepts liability for any damages he or she may cause in the school, in the house, or to the property of the landlord. The school, or any person working for the school, cannot be made liable for the loss of personal property. 

 

2. Leisure activities
Participation in leisure activities is done at the student's own risk. The school or any person working for the school cannot be made liable for accidents or damage to personal property. The center recommends that the student makes arrangements to have appropriate medical coverage during their stay, in particular health, accident, and personal liability insurance. The school can provide contact information for various insurance agencies, although does not recommend any particular one.

 

3. Underage participants
ILC and the host families and school cannot accept responsibility for under age participants.  Responsibility is limited to inform the parents or guardians immediately if behavior of the particular minor is giving reason to be worried.  Accommodation in a youth hostel, hotel, apartment, home stay, or any other form of lodging arranged by the school for under age participants requires the written agreement of their parents or guardians.  Children and teenagers 18 years of age or younger unaccompanied by a parent or legal guardian require a notarized letter of consent to study at ILC, and to live in school-arranged lodging.  The letter should be faxed to us a minimum of two weeks prior to arrival, and the original letter needs to be submitted to the school office upon arrival.

 

4. Agreement
The program laid out on the web site/brochure will be the agreed course. The school and organizers reserve the right to make suitable alterations to achieve better services. If the program cannot be completed due to Acts of God (force majeure), costs incurred up to that point may be retained or invoiced. No further claims will be considered.

 

5. Conduct
The student agrees to conduct himself or herself in a manner that is generally considered to not be detrimental to the welfare, safety, or health of fellow students or school staff.  This includes words or actions of a nature that is insulting or demeaning to a person or persons: nationality, race, gender, creed, or religious affiliation.  Students also agree not to refer students to other schools, whether owned by themselves or not, while a student at ILC.  Any violation of the above shall result in a verbal warning.  Any further actions detrimental to the students, staff, or school shall be cause for expulsion with no recourse or refund.

 

6. Contract
By submitting the reservation form, the student becomes a contracting party of the school. The school reserves the right to make any non-detrimental program changes. Any verbal arrangement is valid only if confirmed in writing. The school reserves the right to correct printing and calculation errors. All information provided in this list is valid as of 6/2011.
